Refund & Cancellation Policy

Last Updated: 24 August 2026 • Effective for all Client Agreements & Invoices

1. Overview & Principles

At DevCodder Q, we provide custom digital engineering, website designing, web development, app development, UI/UX design, and graphic design services. Because our work involves custom labor, intellectual effort, dedicated project scheduling, and bespoke code generation tailored specifically to each client, this Refund & Cancellation Policy governs how project cancellations and refunds are handled fairly and transparently.

2. Nature of Custom Digital Services

Unlike pre-packaged retail products, web and digital design services cannot be "returned" or "restocked." Time, design resources, and development hours dedicated to a project represent non-recoverable operational costs. Therefore, services already performed and delivered according to agreed specifications are non-refundable.

3. Milestone-Based Project Cancellation

For projects divided into defined milestones (e.g. Discovery & Wireframing → UI Design → Front-End Development → Final Launch):

  • Work in Progress: If a client elects to terminate a project before completion, billing will be calculated based on hours worked and milestones completed up to the written date of termination.
  • Unstarted Milestones: Any advance payments collected specifically for unstarted, future milestones will be refunded in full after deducting any incurred third-party fees.
  • Completed Milestones: Milestones that have been designed, coded, reviewed, and approved by the client are non-refundable.

4. Project Booking & Initial Deposit Fees

An initial deposit (typically 30% to 50% depending on scope) is required to secure project scheduling and allocate dedicated design and development resources. Once discovery, architectural planning, or wireframing work has commenced, the initial deposit is non-refundable as it covers upfront consultation and resource allocation.

5. Client Review & Approval Process

Clients are provided structured review cycles (as defined in our Master Terms & Conditions) for each design mockup and development stage. Written approval (via email or project communication) of a milestone confirms full acceptance of that deliverable, concluding the refund eligibility for that specific phase.

6. Exceptional Circumstances

DevCodder Q evaluates refund requests on a case-by-case basis under the following exceptional conditions:

  • Duplicate Payment: If a payment was accidentally processed more than once due to a banking or gateway error, the duplicate amount will be refunded immediately (within 5–7 business days).
  • Inability to Initiate Service: If DevCodder Q is unable to begin an agreed project due to unforeseen internal operational constraints, 100% of collected deposits will be refunded promptly.

7. Fair Dispute Resolution

We are committed to client satisfaction. Before initiating any formal refund or payment dispute, we request clients to contact us in writing outlining any deliverable discrepancies so that our engineering team can provide revisions or corrective development within the project scope.
